Weston by Wadan | Groundbreaking Ceremony Dubai: From Site Notes to Show Day
How Max Events Dubai turned a bare construction plot in DLRC into a fully branded groundbreaking ceremony venue for Wadan Developments.
A groundbreaking ceremony on the plot where the tower will rise
Wadan Developments asked Max Events Dubai to mark the start of construction on Weston by Wadan, a 21-storey smart residential tower in Dubai Land Residence Complex (DLRC).
The ceremony had to happen on the plot itself: an active construction site with cranes, sand and no event infrastructure. It also had to meet the premium standard Wadan is known for. This case study follows our corporate event management team from the first page of site notes to the final event film.
The brief
- Host the groundbreaking ceremony on the actual Weston plot
- Build a premium, fully branded venue from scratch on bare ground
- Carry Wadan's brand identity from the street to the stage
- Deliver a seamless show with stage, LED, lighting and AV
- Keep every crew member and guest safe inside a live construction site
From a notebook to show day, step by step
Every groundbreaking ceremony we produce follows the same path: understand the site, design the experience, then build it safely and precisely. This is how Weston came together.
-
Site recce on the empty Weston plot. 01Site recceIt starts with notes on an empty plot
Before any design work, our team walked the Weston plot and filled a notebook. We mapped access roads, guest drop-off, crane positions, power, ground levels and the direction of the sun.
On a working construction site, these details decide where the marquee, stage and arrival can go, and how the guest journey will feel.
-
From notes to 3D plan
- Site layout and guest flow
- Marquee footprint and stage position
- Panoramic LED wall and lighting plot
- Branded entrance arch and registration
- Run of show and technical cues
02Concept & designTurning site notes into a branded venue
Back at the studio, the notes became a concept and 3D venue plan. We modelled the marquee, stage, LED wall and entrance arch, then rendered them so Wadan could walk through the guest experience before a single truck arrived.
The design followed Wadan's own palette, so every surface felt like part of the Weston brand.

Groundbreaking ceremonies take place where construction is already underway. Every crew member wore full PPE, and we coordinated closely with the site team on access, crane movements and work zones.
The event venue went up alongside the construction work, never in its way.

Behind the scenes
Structure and flooring arrive on site. 04LogisticsTrucks, timber and aluminium on the sand
Heavy trucks delivered the marquee structure, aluminium profiles and timber flooring straight onto the plot.
We timed unloading around site traffic and crane activity, so the event build never got in the way of the construction programme.

Behind the scenes
The arched marquee takes shape. 05StructureAn event hall rises from bare ground
A clear-span arched marquee went up over the sand and turned an empty corner of the plot into an enclosed, weather-protected event hall.
Inside, the structure was lined in white and fitted with lighting. That gave us a clean canvas for the stage and the brand.

Behind the scenes
Flooring, staging and LED going in. 06Stage, LED & lightingA panoramic LED stage, calibrated pixel by pixel
The crew laid the flooring, built a raised stage and assembled a panoramic three-section LED wall: a wide centre screen with two wing screens.
Every panel was mapped and colour-calibrated before content went live, and moving heads and wash lights were rigged overhead. Our AV and event production team ran the technical build from start to finish.
-
Entrance arch: mid-build and on the evening of the event.
07Branded arrivalA first impression in Weston's own textures
We built a statement entrance arch on site, with wave-textured white panels in an espresso frame and a dimensional Weston by Wadan logo.
By the evening of the event it was backlit and dressed with drapes, a carpeted walkway, planters and uplighting. It became the first photo moment for every guest.
-
Illuminated registration with a branded backdrop. 08Guest experienceRegistration that matches the brand
Guests checked in at a curved, illuminated registration desk set against a backlit Weston wall, with professional hostesses to welcome them.
Cooling units kept the outdoor arrival comfortable in the September heat.
-
Show control and the team behind it.
09Show dayEvery cue on time
From the show control desk, our crew ran video playback, lighting and audio cue by cue against a detailed run of show, from guest arrival to the ceremonial groundbreaking moment.
The result was a confident, polished ceremony that looked nothing like the empty plot we found on day one.

Groundbreaking ceremony questions we hear often
What is a groundbreaking ceremony?
A groundbreaking ceremony, sometimes held as a foundation stone laying ceremony, marks the official start of construction on a new project. In Dubai and across the UAE, real estate developers use it to bring together leadership, investors, brokers, partners and media at the future site of the building.
Can a groundbreaking ceremony be held on an active construction site?
Yes. That's where most of them happen. It takes careful planning with the site team on access, safety zones and crane activity, plus temporary structures, power and flooring. Max Events Dubai handled all of this for the Weston by Wadan ceremony in DLRC.
How far in advance should we book a groundbreaking ceremony agency?
Ideally four to eight weeks before the event date. That allows time for the site recce, concept design, approvals and fabrication of branded elements. Shorter timelines are possible depending on scale.
Do you also organise property launches and award ceremonies?
Yes. As a real estate event management company in Dubai, we also produce property launch events in Dubai, sales gallery openings, broker awards nights and corporate award ceremonies and gala dinners across Dubai, Abu Dhabi and the wider UAE.
