A gala designed for connection
Zahrawi Group (Al Zahrawi Medical Services) brings together partners, customers and vendors for its annual dinner during WHX Dubai. For 2026, the brief called for technology, visible brand storytelling and an exceptional guest experience—while preserving the polish expected of a premium corporate gala dinner.
The objective was bigger than filling a venue. Max Events Dubai had to create a setting where business conversations could happen naturally, then build enough surprise, participation and entertainment into the programme to make the evening memorable.
The challenge and our event strategy
Balance technology with warmth
The event needed to feel innovative and unmistakably Zahrawi without becoming visually cold. Every touchpoint—from the entrance to the tables—had to support networking, hospitality and a premium brand experience for 500 guests.
Design one connected guest journey
We treated venue, branding, AV, entertainment, catering and guest activations as one system. That created a clear flow from arrival and speeches to dinner, performances and the closing guest jam session.
The right venue, secured six months ahead
We assessed five to six outdoor venues across Dubai for guest capacity, flow, ambience, technical feasibility and production access. Zahrawi joined the shortlisted site visits, and our team arranged food tastings at each finalist because the dining experience had to match the production standard.
The Pavilion at Emirates Golf Club offered the right open-air setting and technical potential. Securing it six months ahead created time for commercial negotiations, menu customisation and detailed production planning.

An 18-metre LED stage built to anchor the night
The stage was split into five LED sections and programmed for brand content, speeches and live performance. Zahrawi's identity was integrated into the stage fascia and digital podium, while a full outdoor sound design carried every cue clearly across The Pavilion.
The gala began before guests reached their tables
Branded flags and signage framed the approach as hostesses welcomed guests outside. A floral LED tunnel played Zahrawi brand films, then opened onto a violinist performing more than four metres above the ground—combining sound, scale and skyline in one arrival moment.
During dinner, a live stage violin performance returned to the musical theme. The energy then shifted with a Dabke show that moved into the audience, inviting guests to take part. A live guest jam session closed the evening with the spotlight on the crowd.

Technology met warmth at every table
Seventy-two round cabaret-style tables were styled with illuminated Zahrawi cubes, LED candlelight, wooden-palette floral centrepieces and violet chair bows. The result felt technological and organic at the same time.
Dinner was developed with the client and venue culinary team rather than treated as a standard package. Tastings informed a customised international menu designed to match the scale and sophistication of the gala.
